TIFF, a vibrant not-for-profit arts organization, is accepting
 applications for the contract position of:

FILM CIRCUIT ADMINISTRATIVE ASSISTANT

This will be an exciting year for TIFF as we present unique programming in our new home and the world's premiere centre for film, TIFF Bell Lightbox.  We are seeking a highly motivated individual who wants to be part of a new era in Toronto's cultural history.

Reporting to the Manager, Film Circuit, the Film Circuit Administrative Assistant will be responsible for liaising with distributors, exhibitors, Film Circuit groups and internal staff on all levels as well as preparing and maintaining monthly and annual box office and statistical reports.

Responsibilities

•Maintain office files; collect, record and update Film Circuit box office reports and track any unpaid exhibitor/distributor fees, liaising between Film Circuit communities and exhibitors/distributors.
•Prepare weekly, monthly, and annual financial reports based on box office and attendance numbers.
•Coordinate invoicing for all Film Circuit related activities, ensuring that payments are received in a timely manner.
•Ensure that publicity materials are acquired and distributed to Film Circuit groups throughout Canada.
•Maintain contact lists of Film Circuit’s centres, exhibitors, and distributors.
•Monitor Film Circuit website and ensure information is accurate, performing input and updates as required.
•Assist with registration of Film Circuit delegates to various Canadian film festivals.
•Provide Administrative support to all staff, and, as assigned, assist with divisional special events, including TIFF Bell Lightbox programming events.

Contract Dates: April 2, 2013 to September 27, 2013.   

Minimum Requirements

•Minimum 2 years experience in an administrative role is required.
•Advanced computer skills (Microsoft Office Suite, a high proficiency in Excel is a must).
•Strong interpersonal skills; ability to communicate in a professional manner (oral and written) with an ability to produce varied financial reports, and client service oriented.
•Detail and process oriented with excellent organizational skills.
•Film Studies Education or film industry experience equivalent is considered an asset.
•Previous bookkeeping experience is considered an asset; comfortable with numbers.
•Adaptable to a flexible work schedule including some evenings and weekends.
